How do I control availability?
Availability can be controlled at the spa level, the treatment room level, technician level and the equipment level. Hours of operation are loaded into SpaLINX and only those times will be available along with any other determining factors.
How do I prevent double bookings?
Depending on just how you are using SpaLINX determines the methodology behind your implementation. If you are only using SpaLINX for the online scheduling component then you can limit the number of treatment rooms and technicians you load in the system. You can also require a lead time for online bookings. Meaning that in order to schedule a spa appointment online a guest must do so at least three days in advanced. The lead time is totally configurable by each individual spa.
I have some times during the day that are always a problem to schedule because of heavy demand. How do I manage this?
The Spa level availability feature allows you to close out any time slots that you need. So for example you can close every Tuesday from 11:00am to 3:00pm. These times will not be bookable online of through the call center interface. However, spa personnel can still schedule appointments for those times within the Admin side of the system.
Does SpaLINX process credit card charges?
SpaLINX does not process credit cards. A credit card is required to make an appointment online and the system does validate that the card follows the proper algorithmic pattern but the card is not checked for credit or processed.
I have some services that involve a treatment room and then a bath. Can SpaLinx show that?
SpaLINX can handle this as either a Package or as a standard treatment. SpaLINX can be configured to deal with none resource required items such as the pool, steam room or sauna.
My spa is closed on Sundays. How do I show that?
You hours of operation are loaded into SpaLINX. Only those times are shown as available.
Do I need a special person dedicated to SpaLinx or can we all utilize it for spa management?
The system is designed to be utilized by the entire staff. SpaLINX supports multiple users which can be assigned specific roles within the system.
I have one set of prices for mid-week and a higher set for weekends. Can SpaLINX deal with that?
Currently the system does not support price yielding by day or time.
Does the client get an automatic confirmation? A cancellation email?
The system will send the guest a confirmation, modification or cancellation email automatically if the appointment is made online. The spa staff has the option to send a confirmation email to the guest if the appointment is made directly in the system by spa personnel.
